Login/Register to apply SecretaryWe are looking for a highly organised and professional Secretary to provide high-quality secretarial and administrative support to our Executive Team and Executive Assistant.At Prospect Hospice, we provide compassionate, specialist end-of-life care for people across Swindon, Marlborough and northeast Wiltshire. We support patients and those close to them to live as well as possible, for as long as possible—providing care in people’s homes, in the community and at the hospice when it matters most.Hours: 15 hours per week (2 days with flexibility as needed)What is the role?This is a pivotal role at the heart of the organisation, supporting senior leaders and contributing to the smooth running of governance, meetings and strategic activity.You’ll play a key role in coordinating meetings, preparing papers, taking accurate minutes, and ensuring actions are tracked—while also providing day-to-day administrative support across the Executive Office.Key responsibilitiesProvide comprehensive administrative and secretarial support to the Executive TeamCoordinate meetings, prepare agendas, and take high-quality minutes for committees and senior leadership meetingsSupport Board and governance processes, including collation and distribution of papersManage diaries, schedules and meeting logistics across multiple stakeholdersAssist with project coordination and provide administrative support to organisational initiativesMaintain accurate records, trackers and documentationProvide cover for the Executive Assistant where requiredAbout youHighly organised, proactive and professional, with the ability to work with discretion and sensitivity in a hospice environment, you will be someone who takes pride in your work, communicates effectively at all levels, and brings a calm, compassionate approach to everything you do.You will bring:Proven experience in a senior administrative, PA or secretarial roleStrong experience of minute taking and meeting coordinationExcellent written and verbal communication skillsHigh level of proficiency in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint)The ability to manage multiple priorities and work independentlyA high degree of professionalism, confidentiality and attention to detailIt would be great if you also have: Experience supporting senior leaders or executivesExperience in healthcare, charity or public sector organisationsUnderstanding of governance or Board-level processesPlease see the job description for full details and person specification.For more information, please contact Siobhain Acott, Executive Assistant on 01793 816119Why join Prospect HospiceAt Prospect Hospice, you’ll be part of a compassionate, supportive organisation where your work genuinely makes a difference.
