Receptionist

Volunteer role description

Title: Reception Volunteer for the Inpatient Unit and Front of House

Responsible to: Reception and Administration Assistant Team

Overseen by: Head of Volunteering, Learning and Inclusion

Duty Hours: 2 to 3 hour sessions within a daily working pattern of 8am to 7pm

The reception is the first point of entry for all patients and visitors to the hospice. Receptionists must provide an attentive, empathetic and welcoming service to anyone entering the building.

They should also be able to provide a calm and efficient response to phone calls and must be able to multi-task in what can sometimes be a very busy environment. On occasion, they may be expected to work on their own under the direction of a member of the employed reception and administration team.

The reception and administration team, made up of staff and volunteers, provides a range of administration support across both the front of house and the inpatient unit.  They play a vital role in the smooth running of the reception area.

Role responsibilities

  • Establish and meet visitors’ requirements.
  • Provide consistently excellent customer service.
  • Prioritise tasks and allocate your attention accordingly.
  • Answer telephones and direct calls.
  • Sign in visitors.
  • Accept incoming monetary donations.
  • Accept incoming deliveries.
  • Frank outgoing post.

Personal Responsibilities 

  • Display a professional welcoming, calm and caring attitude at all times.
  • Work to Prospect Hospice’s confidentiality policy at all times.
  • Inform the receptionist of unavailability for scheduled duties – giving as much notice as possible.
  • Be aware of health and safety regulations and make sure you know what to do in an emergency situation.
  • To adhere to Prospect Hospice lone working guidelines and out of hours procedures for your own safety.
  • Attend meetings/in-house training sessions as required.
  • Seek help/support when needed.

We will take you through an induction process, including all relevant statutory and mandatory training, before you commence in role.

Volunteers will be reimbursed reasonable expenses incurred, on submission of an expenses claim form.
